How to request a discussion list and set up the List Info

Request an email list

These steps apply to both discussion and announcement lists.

  1. Send an email to the Director of Information Systems in the STC Office to ask for the URL to the form to request a new email list.
  2. Click the link and complete the request form. Select a discussion list for use by all members, or an announcement list if only the leaders of the group will be posting news and announcements.

You will receive a message like the following.

Set up the List Info

Note: You will also want to configure your list administrator account.

  1. Go to the website for your list, and login.
  2. Click List Admin.
  3. Click List Info and be sure the following settings are as indicated.
  4. When you are finished, click Save Maling List and follow the prompts to complete the save action.

Basic Information

Description: The text you want to appear in the To line when someone posts to the list.

Topic: The section of the STC Lyris list home page you the list will be in.

World-Wide-Web URLs

URL Logo: The URL for your SIG banner on your SIG website.

URL List: The URL for your list, so it will appear on the STC Lyris list home page. The banner will appear on the list homepage too. If you don't want to see the banner, leave the URL Logo blank.

Headers and footers

Message header: The text for a header, if any. Usually blank.

Message footer: The text you want in the footer of each message.

Digest header: The text to appear at the top of each digest.

Digest footer: The text you want in the footer of each digest.

Security for Subscribers

Security: private - administrators must approve new members

Password: blank

Restrict Member Options: No, allow members to choose their own membership options

Ask Subscribers for Name: Ask for their name when joining and make it required

Require Password: Ask for a password when joining, but it is not required (it is optional)

Allow joining by email? Disallow membership requests by email, require the web

Banned Members: blank

Accepted Members: blank

Visitors: No, do not allow visitors [Prevent people from finding the list on the web.]

Hide: No, do not hide this mailing list [Use this setting so the list will appear on the STC Lyris list home page.]

Allow Info: No, do not allow non-members to see any information [Prevent people from finding any of the pages of the list on the web.]

Global: No, the list should not be globally visible [Prevents the list from appearing on a master list of Lyris lists on the Lyris servers. This setting has no effect because Lyris does not have a master list.]

Security of Member List: Only allow the list administrator to obtain the member listing

Confirmations

Confirm Subscribes?: Yes, require confirmation

Confirm Unsubscribes?: Require confirmation only when the unsubscription request is questionable

Posting Privileges and Moderation

Admin Send: No, normal members are also allowed to contribute

Password Required: no, password is not required in the message body (default)

Moderated: number moderated - members have their first few messages approved [The list must be number moderated if you want to set individual members to have their messages moderated on occasion.]

Approve #: 0 - no approvals needed [This suppresses automatic moderation of all new members, in spite of the previous setting.]

Release Days: approval is always required [This setting affects moderation of individual members, if you use it.]

Release Time: midnight (0:00) [This setting has no effect if approval is always required.]

Non-Members Can Post: No, only members are allowed to contribute to the list

Reject Email Submissions: No, allow submissions by email [Disallowing closes the list for posting.]

Allow Cross-Posting: Yes, allow cross-posted messages [This allows subscribers to copy the list with the same message sent to another list. This is very helpful to leaders who are making announcements.]

Allow Duplicate Posting: No, duplicate postings should be rejected [This prevents two copies of the same message from reaching the list.]

Cross-postings and duplicates: Cross-posted copies should be sent to recipients as listed

Max Posts Per Member: 10

Max Quoting Allowed: 30 [This refers to lines preceded by >.]

Allow Blank Subject: No, reject messages which have a blank subject

Allow Blank Body: No, reject messages which have a blank body

Child List: No, do not allow postings through from other ListManager lists

Documents

Refer to "How to create the Confirm, Hello, and Bye documents" and "How to welcome new members (or send a news message to all members) and simultaneously invite members to join the list"

Hello: Signame_Hello

Goodbye: Signame_Unsub

Confirm: Signame_Confirm

Limits

Daily message limit: 100

Message size limit: 50k

Email headers

List Subject: Yes, prepend the list name to the subject

From: blank

Reply To: blank to have replies go to the list. "author" without the quotes to have the reply go to the sender and "reply all" go to the list. [Reply all varies depending on the email client.]

To: Header: blank

Remove Headers: Enter "precedence" and "received" without the quotes, on two lines.

Append SMTP Header: blank

MAIL FROM: blank

List-Help Headers: Yes, include helpful headers

Anonymous Headers: No, do not make this mailing list anonymous [The email address of those who post to the list will be visible to recipients.]

Rewrite Moderated Date: header: No, do not rewrite: leave the Date header untouched.

Rewrite Message-id Header: Yes, rewrite the Message-ID to contain the recipient address

Archives

Archive Days: 0 [An unlimited number of days' messages will be retained.]

Archive Number: 0 [All messages will be retained.]

Save Archives: Yes, save and archive messages sent on this mailing list

Archive Searching: Yes, archives of this mailing list should be searchable [This is not necessary for an announcement list. Subscribers can search the archives with an email command.]

Save Recipient info: No, do not save the recipient info with each archived message (saves space)

Error Mail Handling

Hold users: Yes, members who bounce too much mail should be held

Held Notify Interval: notify held members every n days [Refer to "How to use the Hold settings."]

Held Notify Days: notify held members every n days [Refer to "How to use the Hold settings."]

Held Document: Signame_Hold

Bounce Reset: n [Refer to "How to use the Hold settings."]

Bounce Limit: n [Refer to "How to use the Hold settings."]

Member Purging

Purge Held: Refer to "How to use the Hold settings."

Purge Unconfirmed: after 14 days

Purge Unapproved: after 7 days

Purge Expired: after 7 days [This setting has no effect on the STC lists,]

Purge Unsubscribed: after 7 days

Informational

These settings are not used on the STC lists except for Contact. Leave the default settings for the other values.

Leave these settings blank.

Miscellaneous

Subscription Reports: Monthly send a standard monthly report on the 1st of the month

Available as a Newsgroup: No, do not make this list available as a secure Newsgroup

Delivery Reports: Do not email delivery reports to list admins

Scripting/Merge: No Advanced Scripting Merge

Allow Tcl in Body?: Disable
