Newsletter Production Calendar

This production calendar is posted for the convenience of the editorial staff

This calendar starts from the Call for Articles and is back-timed to ensure that the newsletter is put into US Mail by the first week of the publication month, so it will reach members within a week (two weeks for overseas mail). These dates are approximate, and may be adjusted to land on appropriate days of the week.

Note that:

  • The August issue date is set to avoid the Conference dates and allow time for production.
  • The January issue date is set early to meet STC Newsletter Competition deadlines for final issues - normally around January 10

1. Call for Articles - The Call goes out in the previous issue, and on the SIG email list at least a month before the submission deadline, asking for expression of interest and topic. Reminders go out to authors and regular columns two weeks later.

2. Submission Deadline - On this date, all copy is due to the Managing Editor. During the following month, the articles are edited and the Editor assembles the newsletter.

3. Review Period - The Managing Editor sends out the newsletter (in electronic form) for final review by SIG Manager, AP for SIGs and all editors and contributors. All comment are due by the beginning of #5, the editorial revisions period.

4. Editorial Revisions - The Managing Editor has a week to incorporate all review items and complete the newsletter.

5. Copy Editor Receives Files - The Copy editor does the final editorial corrections to the newsletter files and delivers electronic copies to the Distribution Editor.

6. Final Copy to Distribution Editor - The final version of the newsletter is delivered (electronically) to the Distribution Editor who confirms final approval from the SIG Manager and creates the hard-copy for delivery to the printer.

7. Delivered to Printer - The printer takes up to 14 days to print, label and stamp the newsletter.

Note: The Distribution Editor also sends the final copy of the newsletter files, as printed, to the Webmaster (for later posting on the Web) and the Managing Editor (for archives or as the starting point for the next issue)

8. Newsletter into US Mail - The newsletter is delivered directly to US Mail by the printer, and reaches members a few days later.
